Group by decisions

Begin with customer decisions: choose, prepare, implement, measure and maintain. Connect every topic to a service or process. This helps people find answers at different stages. A category does not need dozens of initial pages; it needs a purpose and content that actually fulfils it.

Define a content record

Record the main question, audience, evidence needed, owner and status. Add links to preceding and following content in the journey. If two records answer essentially the same question, consider combining them before writing. An editorial map should show pending work without automatically turning it into published pages.

Publish for usefulness

A page is ready when it answers its intended question, provides relevant examples and offers a next step. Review duplicated copy and unsupported claims. Swapping city or industry names is not a substitute for original value. A concise, specific page may be more useful than a long, repetitive one.

Design ongoing review

Assign review dates according to how likely information is to change. Prices, integrations and terms need a different review cycle from a stable methodology. Keep history and translation links. Before expanding, check that the team can maintain existing content and that internal search produces understandable results.

Key takeaways

  • The goal is to meet needs, not accumulate URLs.
