Define the stages
Separate visits, received submissions, valid enquiries, opportunities and customers. Agree on the conditions for moving between stages and who records them. Clicking submit does not necessarily mean a submission was received; receipt does not establish commercial fit. Keep these distinctions visible in reports.
Collect what is needed
Select fields that guide the conversation: the need, business type and reply channel. Avoid requesting information nobody will use. Document intended use and access. Enquiry quality also depends on how the team responds, not simply on how many fields the form contains.
Reconcile website and CRM
Use stable identifiers to connect receipt and follow-up. Review duplicates, internal tests, spam and ownerless records. If a connector fails, retain the incident and a recovery path. Run an end-to-end test using clearly labelled test data before relying on a conversion dashboard.
Interpret attribution carefully
Report known and unknown sources. A customer may discover the brand in one channel and return through another; available data may not reconstruct the entire journey. Include sales feedback in the analysis and avoid attributing all revenue to the last observed visit.
